WITHMIA 2.5 — WITHMIA now books appointments on its own: your customers reserve a slot in your calendar, 24/7
WITHMIA no longer just talks: it books appointments in your real calendar (Google, Outlook, Calendly, Reservo, AgendaPro, Dentalink and Medilink), asks for the details your business needs and sends the confirmation to your customer. For small businesses in Chile.

WITHMIA
Stop for a second and think about how you book an appointment today. Someone messages you: “hi, do you have anything available tomorrow?”. You check the calendar and reply “sure, I have 3 or 5 o’clock”. The person takes a while to answer. By the time they do, someone else has taken that slot. Back to square one. “OK, give me Tuesday at 4.” You write it down in a notebook, a diary, a spreadsheet — or in your head, which is the worst option of all. And you end up with two customers booked at the same time, or with a no-show because nobody reminded anyone of anything. That back and forth, that “send me your details by DM and I’ll confirm later”, is one of the things that steals the most time and costs the most sales.
Not long ago we introduced WITHMIA 2.0, the omnichannel leap: WhatsApp, email, Instagram, Messenger and your website chat, all in a single inbox, with your assistant answering 24/7. We told you that release was the tip of the iceberg. Today we’re showing you what was underneath.
Meet WITHMIA 2.5, and there’s only one headline: WITHMIA no longer just talks. Now it books.
Until yesterday, your assistant handled things beautifully: it answered questions, sent prices, took messages. But when the moment of truth came — “I’d like an appointment” — it still depended on you. Somebody had to check the calendar, offer a time, confirm, write it down. That’s over. From this release on, WITHMIA looks at your real calendar, offers the slots you actually have free, books the appointment itself and writes it into your diary, without you lifting a finger. And then it sends the confirmation to your customer.
Think of it this way. Before, you had a receptionist who answered the phone but who, to book anything, had to come and find you: “boss, can I give this gentleman the 3 o’clock?”. Now you have a receptionist who holds the calendar in her hand, who knows exactly what you have free, who reserves the slot right there and who never books two people into the same block. That’s the difference between 2.0 and 2.5: we went from an assistant that talks to one that acts.
And here’s the most powerful part, the thing that really changes the game: this is not a WhatsApp button. It’s a tool WITHMIA uses wherever the conversation happens. It makes no difference whether your customer asked for the appointment on WhatsApp, on your website chat, through an Instagram DM or by email: WITHMIA books it just the same, in the same calendar, with the same brain. The idea is simple and huge at once: you connect the calendar you already use, your customer writes “I’d like an appointment”, and WITHMIA walks them all the way to a booked slot. No new apps, no strange forms, no need for you to be there.
We’re not going to dump it all on you at once. Go section by section, because every one of them adds something. But hold on to this idea before you continue: if 2.0 was about never losing a customer on any channel, 2.5 is about never losing a booking anywhere. Welcome to the release where WITHMIA takes over the diary.
WITHMIA books on its own, in your real calendar
Let’s get concrete, because this is the heart of it all. When a customer tells WITHMIA “I’d like to book something for tomorrow afternoon”, what happens behind the scenes is exactly what you would do, but in seconds and without mistakes.
First, WITHMIA looks at your real calendar — the same one you use every day — and sees what’s booked and what’s free. It doesn’t invent slots, it doesn’t offer blocks you’ve already taken: it checks genuine availability. Second, it offers the customer the times you have free in a natural, conversational way (“tomorrow I have 3 or 5 in the afternoon free, which works better for you?”). Third, when the person chooses, WITHMIA asks for exactly the details your business needs for that booking. And fourth, it writes the appointment into your calendar, with the customer’s name, the time and the details, ready for you to see. Right after that, it confirms to the person that their slot is locked in.
All of this, we’ll say it again, at any hour and on any channel. The customer who messages you at midnight on a Sunday from Instagram gets their appointment booked at that very midnight. The one who comes in through your website chat on a public holiday, the same. There’s no “I’ll confirm on Monday when we open”. The slot is taken there and then, while the person still wants it.
And since every conversation has its own controls — just like in 2.0 — if you want to step in and arrange a special time by hand, you open that conversation and WITHMIA steps aside in that one only. Where you are, you’re in charge. Where you’re not, WITHMIA books for you.
Connect the calendar you already use (we’re not asking you to change a thing)
We know you already have a way of running your diary. Maybe you live in Google Calendar, maybe in Outlook, or maybe you use a booking platform built for your industry. The beauty of 2.5 is that we’re not asking you to switch to anything new: WITHMIA connects to the calendar you already use and books there. We support seven of the most popular ones:
- Google Calendar and Outlook / Microsoft 365 — the two classics. You connect them with one click, using the official Google or Microsoft button, without handing over any passwords. Ideal for practices, offices, independent professionals and anyone who already lives glued to their calendar.
- Calendly — if you already organise your meetings there, WITHMIA plugs in and respects your availability.
- Reservo and AgendaPro — two of the most widely used booking platforms in Chile for hair salons, beauty centres, spas and practices. WITHMIA reads your services and books against them.
- Dentalink and Medilink — the healthcare suite (HealthAtom). Built for dental clinics and medical centres: WITHMIA knows your practitioners and treatments so it books things properly.
You connect yours from the Calendar section, and from that moment WITHMIA is cleared to book there, with no extra steps. If you run more than one, no problem: each calendar gets its own card and its own settings.
The underlying idea is the one we mentioned at the start, and it’s worth repeating because it’s the soul of this release: a business connects its calendar, its customer writes asking for an appointment, and WITHMIA books it in that business’s calendar. You supply the calendar; WITHMIA supplies the work.
Every business asks for what it needs: WITHMIA adapts to your industry
Here’s a fine detail that marks the difference between a dumb robot and an assistant that genuinely understands your business. Not every industry needs the same details to make a booking. An office reserving a meeting through Google might only need an email address. A hair salon needs to know which service you want (a cut? colour? both?). A dental clinic needs your ID number and the treatment. Asking everyone for the same thing would be a mistake.
That’s why WITHMIA asks for details based on the calendar you connected:
- If you use Google or Outlook, it asks for the customer’s email address so it can send the invitation.
- If you use Reservo or AgendaPro, it asks for name, the service they want and phone number.
- If you use Dentalink or Medilink, it asks for name, ID number, phone number and the treatment or reason for the visit.
And best of all: you can tailor those fields however you like. In the Calendar panel there’s an editor where you decide exactly what WITHMIA asks the customer before booking. Want to also ask for their health insurance? Add it. Want the reason for the visit to be mandatory? Tick it. Is there a field you don’t need? Take it out. WITHMIA follows that configuration to the letter: it won’t book until it has everything you marked as required, and it collects the rest so it can note it all down in the appointment.
That way the same assistant works just as well for a law firm, a barbershop and a medical centre. Each one asks for its own things, without you having to program anything.
You set the rules: durations, days and everything else
A diary isn’t just “yes or no to this time”. It’s how you work. And 2.5 lets you configure that without touching a line of code, from a panel that’s now always in view, pinned beside your calendar so you have everything under control at a glance.
- Appointment durations. Are your slots 30 minutes? An hour? Do you offer 15 minutes for a quick consultation and 60 for something longer? You choose the durations you work with (15, 30, 45, 60, 90 or 120 minutes), and if you set several, WITHMIA asks the customer how long they need and works out the end time on its own. No more “every appointment lasts an hour just because”.
- First day of the week. A small thing, but appreciated: you set whether your week starts on Monday (the norm around here) or Sunday, and the calendar lays itself out the way you read it.
- The details the bot asks for. As we mentioned above, you add, remove and mark as required the fields WITHMIA asks about before booking.
- Assistant access. With one click you enable or disable WITHMIA’s ability to check and book in that calendar. And so you can get going without any fuss, when you connect a new calendar it’s enabled by default: connected, done, already booking.
And all of this is per calendar. If you have Google for your meetings and Reservo for your services, each one gets its own panel with its own rules. Configure it once and WITHMIA respects the way you work forever.
The confirmation that actually reaches your customer
Booking is half the job. The other half is the person remembering their appointment. That’s why, the moment WITHMIA books an appointment, it sends the customer a confirmation email with the WITHMIA seal: the date and time crystal clear, the details of the appointment and the name of your business.
Why does this matter so much? Because until now the confirmation depended on the calendar sending its own invitation, and that doesn’t always arrive: on some accounts it fails, on others it goes straight to the spam folder, and the customer ends up not knowing what time they were due. With WITHMIA’s email, that confirmation goes out no matter what, whichever calendar you connected. It’s our safety net so nobody is left without proof of their booking.
Fewer “what time was my appointment again?”, fewer calls to double-check, fewer no-shows. The customer books, receives their email and relaxes. So do you.
WITHMIA’s memory, tuned to your needs
There’s one more thing we refined in this release, and although it sounds technical, in practice it changes how it feels to talk to WITHMIA: you now configure its memory yourself.
Every conversation is a balancing act. If the assistant remembers too much, it can get stuck on something you said a while back that’s no longer relevant. If it remembers too little, it makes you repeat yourself. The sweet spot depends on your business. So, from the Knowledge section, you now decide two things:
- How many messages WITHMIA remembers within a conversation.
- When it forgets an old conversation: in days (for example, that it “wipes” a given customer after a week), or that it never expires if you’d rather it always remembered.
It’s a fine-grained control, designed so WITHMIA sounds exactly the way your business needs: with the long memory of a practice that treats the same patient for months, or the short memory of a quick-service business where every customer starts from scratch. You’re in charge.
A detail you’ll notice: the right time, always
Finally, one of those invisible improvements that prevents headaches. We polished how WITHMIA handles your calendar’s time zone, so an appointment booked at 3 in the afternoon shows up at 3 in the afternoon — on your screen, on your customer’s and in your calendar — with no odd shifts. When it comes to appointments, the time being the time isn’t a luxury: it’s the bare minimum. And now it’s tuned to the last detail.
Real-world cases: when WITHMIA takes over the diary
So far we’ve told you about it piece by piece. Here’s what it all looks like put together, working in businesses like yours.
The dental clinic that stopped booking by hand. At a practice in Providencia, the receptionist spent her days answering the same things on WhatsApp: availability, prices, and then the back and forth to pin down a time. They connected their Dentalink to WITHMIA. Now, when a patient writes “I need an appointment for a cleaning”, WITHMIA asks for their name, ID number and treatment, checks the real diary, offers the free blocks and books the appointment with the right practitioner. The patient gets their confirmation email straight away. The receptionist went from booking by hand all day to reviewing a diary that fills itself.
The hair salon that fills its week without answering the phone. A salon in Ñuñoa works with Reservo. A client sends an Instagram DM on a Sunday night: “do you have anything for colour on Thursday?”. Before, that would have waited until Monday. Today WITHMIA answers right away, asks which service she wants, offers Thursday’s free slots and books it. All from Instagram, without the owner ever picking up the phone. By Monday, the appointment is already in the diary.
The physiotherapist who got his afternoons back. An independent physiotherapist uses Google Calendar. He connected WITHMIA and now his patients book on their own via WhatsApp: the assistant checks his calendar, offers the free slots, asks how long they need (30 or 60 minutes depending on the type of session) and books the appointment. He stopped interrupting every session to answer “do you have anything on Friday?”, and his patients stopped waiting around for a reply.
The beauty centre with two calendars. A centre in Las Condes runs Outlook for team meetings and AgendaPro for services. They connected both to WITHMIA, each with its own configuration: in AgendaPro, WITHMIA asks for name, service and phone number; in Outlook, just the email. The same assistant, two calendars, two ways of booking, and nobody gets confused.
Frequently asked questions (no fine print)
Do I have to change my calendar or learn a new one? No. WITHMIA connects to the one you already use: Google, Outlook, Calendly, Reservo, AgendaPro, Dentalink or Medilink. You carry on working as always; WITHMIA simply books there for you.
Can WITHMIA double-book two people at the same time? No. It checks your real availability before offering anything, so it only proposes times you actually have free. Goodbye to clashes.
Does it work on all my channels or only on WhatsApp? On all of them. WITHMIA books just the same from WhatsApp, your website chat, Instagram DMs, Messenger or email. The appointment always lands in the same calendar.
What details does it ask the customer for? The ones your calendar needs (email for Google/Outlook; name, service and phone for Reservo/AgendaPro; ID number and treatment for Dentalink/Medilink) plus any you add. You decide which ones are mandatory.
Does the customer get a confirmation? Yes. As soon as WITHMIA books, it sends a confirmation email with the date, time and details, whatever the calendar does or doesn’t send. It’s our safety net so nobody is left without proof of their booking.
Can I still book by hand myself? Of course. You open the conversation and take it over; WITHMIA steps aside in that one only. You’re always in control.
Is there a lot to configure? Just the essentials, from a simple panel: durations, first day of the week and which details to ask for. When you connect a calendar, WITHMIA is ready to start booking by default.
It’s time to stop juggling appointments by hand
Your business doesn’t have to live off “I’ll confirm later” or a notebook full of crossed-out times. With WITHMIA 2.5, your customers ask for appointments wherever they like, whenever they like, and WITHMIA books them on its own in your real calendar — asking for what your industry needs, respecting your rules and sending the confirmation — while you look after the person right in front of you.
If 2.0 got your whole business talking in one place, 2.5 gets your diary filling itself. Connect your calendar in a couple of minutes and let WITHMIA take the bookings for you.
With you, WITHMIA.
